Can WooCommerce Subscriptions Bill by Quantity or Seats?
How It Works
WooCommerce's cart quantity field works the same way on a subscription product as any other — the subscription's recurring total is simply the per-unit price multiplied by quantity, and that quantity carries forward to every future renewal order at the same multiplied rate. This covers the simple case of "5 licenses at $10 each, billed monthly" without any extra setup.
Where Basic Quantity Billing Falls Short
- Changing quantity mid-cycle. The built-in behavior doesn't offer a self-service way for a customer to add 2 more seats partway through a billing period with a prorated charge for the remainder — quantity is set at checkout and stays fixed on that subscription unless manually edited.
- Per-seat access provisioning. WooCommerce Subscriptions bills for quantity but doesn't inherently manage individual seat assignment (which specific users get access) — that logic, if needed, sits outside the plugin entirely.
- Usage-based or metered billing (billing based on actual usage rather than a fixed seat count set at checkout) is a fundamentally different model the plugin doesn't support natively at all.
Getting Real Seat Management Working
- For simple, fixed-quantity billing, the built-in quantity field is enough — no extra plugin needed.
- For self-service mid-cycle seat changes with proration, look at extensions purpose-built for this (some exist specifically for WooCommerce Subscriptions), or scope custom development if the exact proration and access rules are specific to your business.
- For seat-level access control, that typically means pairing subscription quantity with a separate user-management layer (custom roles, a membership plugin, or a bespoke admin screen) tracking which individuals occupy which seats.
- Test the admin-side quantity edit (an admin manually changing quantity on an existing subscription) even if self-service isn't available yet, so support staff have a documented manual process in the meantime.
