Why This Usually Isn't Data Loss

The Orders admin screen defaults to showing all statuses, but it's easy to end up with an active status filter, date range, or leftover search term from a previous session without immediately noticing — and genuine orders sitting just outside that active filter will correctly not appear in the list, without anything actually being lost.

Common Causes of Orders Vanishing in WooCommerce

  • An active status filter (viewing only Processing, for instance) hiding orders in other statuses like Completed or Cancelled from the current view.
  • A leftover search term or date range from a previous search, narrowing the list more than intended.
  • Orders in the Trash, which are excluded from the main list but still recoverable, distinct from being permanently deleted.
  • A sync issue during an HPOS migration, if the store recently switched order storage systems, where a specific order might not have fully synced between the old and new storage during the transition.
  • A plugin filtering the orders query for its own purposes (a multi-vendor plugin scoping orders to a specific vendor view, for instance) in a way that unintentionally hides orders from a general admin view.

How to Diagnose and Fix It

  1. Clear all filters and search terms on the Orders list first, checking "All" statuses specifically.
  2. Check the Trash for the specific missing order.
  3. If using HPOS and recently migrated, check the sync status and consider running the built-in sync tool again.
  4. Check for a plugin filtering the orders query if the above don't reveal the missing order, using standard plugin-conflict isolation.
