WooCommerce Private Notes vs. Customer Notes

How the Two WooCommerce Note Types Work

Both note types appear in the same order notes timeline within WooCommerce admin, making them easy to add without much friction, but the dropdown selector when adding a note determines whether it stays private or gets emailed. Choosing "Note to customer" triggers an actual email send using the store's configured email settings, while "Private note" simply logs the entry without any customer-facing action.

Getting This Right Matters

  • Accidentally sending an internal note to the customer (choosing the wrong dropdown option) can expose information never meant to be customer-facing — internal discussion about a fraud concern, a pricing error, or staff-only context.
  • Forgetting to notify a customer when a genuine update was intended, by leaving a note private when it should have been sent, leaving the customer uninformed about something they were expecting to hear about.
  • Customer notes are sent using the store's default email styling, so the message should be written with that context in mind, as a genuine customer-facing communication, not an internal shorthand note.
  • System-generated notes (automatic status change logs, plugin activity) are typically private by default, distinct from manually added notes.

Using Notes Correctly

  1. Default to private for internal record-keeping, staff communication, or anything not meant for the customer.
  2. Deliberately choose "Note to customer" only when an actual customer-facing update is intended, writing it in appropriately professional, clear language.
  3. Double-check the dropdown selection before submitting, especially when adding a note quickly.
