How Does WooCommerce Handle Orders With a Backordered Item?

How WooCommerce Backorders Work

A product's stock settings include a backorder option (allow, allow with notification, or don't allow), and when allowed, checkout doesn't block on zero or negative available stock — the order still completes, the specific backordered line item is flagged accordingly on the order, and the product's stock number can go negative, which is WooCommerce's way of representing that more has been sold than is currently physically available.

Things Worth Understanding

  • "Allow, but notify customer" shows a message at the product/cart level letting the customer know the item is backordered before they commit to purchasing, which is generally better practice than silently allowing it without any indication.
  • Backordered orders don't automatically pause for fulfillment purposes — the order can still move through Processing and Completed status normally, which means the store needs its own internal process for knowing not to ship a backordered item until it's actually back in stock.
  • Stock going negative is expected and intentional in this scenario, representing a genuine shortfall to fulfill once new stock arrives, not a data error.
  • Order notes or a custom status are worth adding for backordered items specifically, since the default order status flow doesn't inherently prevent marking a backordered order Completed before it's actually been shipped.

Managing Backorders Well

  1. Choose "Allow, but notify customer" rather than silent backorder allowance, so customers know what to expect.
  2. Build a clear internal process for tracking which orders contain backordered items awaiting restock, since the default status flow doesn't enforce a hold automatically.
  3. Communicate expected restock timing to customers with a backordered item in their order, to manage expectations proactively.
